This small tutorial is for beginners to have a general vision of our system

Quick Reference

After creating the account you will receive the invitation email to login into your portal. Please log in and learn the interface.

We will make the initial setup for you and connect your portal to the server and to your telephone and fax numbers (if any). The first extension will be created (for the future telephone) and the fax module with forwarding faxes to your email will be activated.

IMPORTANT!

 ::  When you open any page on your portal, look at the 3-line menu in the right upper corner (if any). Click on it and you will see if already-created options exist.

 ::  After any changes click the Save (Update) button in the bottom right corner. IMPORTANT! After Save (Update) never forget to click in the upper right corner red circle. It will upload your changes to the database. Otherwise, changes will not be saved!

1. View and send faxes.

PBX (left column menu) > Virtual faxes > Fax viewer (all your faxes) or Fax sending to send a fax.

Fax sending. In "Recipients" Enter the number without any dashes or spaces (Click Enter to save). In "Attached file" choose a pdf file on your computer you are going to send. Click "Send" in the bottom right corner. You can monitor the sending progress in the Fax viewer. 

2. Extensions

Extensions (100(fax), 101, 102, etc.) are the local numbers for your physical telephones or real fax machine in the office.

PBX > Extensions > Extensions. Click on the 3-line menu to see and edit existing extensions. We use the practice when extension 100 is for the fax machine (if you use it in the office), and the rest are for telephones. To use a real fax machine in the office you will need the adapter (we will supply one if you wish, and pre-setup) to connect a fax machine to the office network.

We use telephones Grandstream. When you will need physical telephones in the office, we will supply pre-setup telephones. We have many models starting from the budget models to the executive-level models.

3. Forward all calls to the external telephone number. 

Create or edit Custom Destination:

PBX > Applications > Custom Destination. Enter the description and the number of the external telephone. Save/Update (bottom right) and reload (upper right red circle). The custom destination was created.

How to forward all inbound calls to this destination:

PBX > Call Routing > Inbound Routes. In the 3-line menu, you can find fax and voice routes we have pre-setup. Open voice route. On the bottom in Inbound Destinations choose a Custom Destination module and the name of your preferred Custom Destination (created earlier). Save/Update (bottom right) and reload (upper right red circle). Now all inbound voice calls will be forwarded to the Custom destination.

4. Create or edit THE Ring Group.

4.1 PBX > Call Center > Ring Groups. Initial basic Ring Groups are 500 "Office" and 501 "Oncall". You can edit Group by adding the extension(s) and/or an External Number(s) (type the number where you are willing to forward rings and press Enter to save). Save/Update (bottom right) and reload (upper right red circle). The Ring group was created.

4.2 Forward all inbound calls to this destination:

PBX > Call Routes > Inbound routes. In the 3-line menu fax and voice routes. Open voice route. On the bottom of a new window in Inbound Destinations choose a Ring Group and (right) the name of your Ring Group. Save/Update (bottom right) and reload (upper right red circle). Now all inbound voice calls will be forwarded to this Ring Group.

5. Create time conditions (business hours, after-hours, and weekends)

1. Create (edit) a Time group.

PBX > Incoming calls > Time groups. Edit (choose from the 3-line menu) or create a new Time group for your business hours. Choose your business hours, days of the week (Monday - Friday), days of the month, and months. Save/Update (bottom right) and reload (upper right red circle). The Time group was created.

2. Create (edit) the Ring Groups for business hours and for after-hours and weekends. See article 4.1.

3. Create (edit) Time conditions:

PBX > Incoming calls > Time conditions. Toggle code: *77. Description: the name of the Time condition (e.g.  "Office").

Time group: select created the Time group. 

Destination if time matches: Choose (Select module) a Ring group, and (Select destination) the Ring group that matches your business hours (e.g. Ring group 500). 

Destination if time does not match: Choose (Select module) a Ring group, and (Select destination) the Ring group that matches your after-hours and weekends (e.g. Ring group 501).

4 Forward all inbound calls to this destination:

PBX > Call Routes > Inbound routes. In the 3-line menu fax and voice routes. Open voice route. On the bottom in Inbound Destinations choose a Time condition and (right) the name of your Time condition (e.g. Office). Save/Update (bottom right) and reload (upper right red circle).

Now all inbound voice calls will be forwarded within business hours to Ring Group 500 (Office) and all other times to Ring Group 501 (Oncall).
